Memorandum including provision for an additional designation and definition for remote work.
UW System Administrative Policy 1228, Telecommuting (Remote Work), was revised on July
30, 2024, and included definition of a headquarters location, and how an employee’s designated
headquarters location impacts their ability to be reimbursed for travel related expenses to that
location.
A memorandum was provided on January 9, 2025, by the Interim Associate Vice President for Human Resources providing the following interim clarification:
• Under this policy revision, a fieldwork exception will be added to the policy, which
allows employees whose official work requires the employee’s presence at various
locations other than their headquarters location at least 50% of the time (as a requirement
of their position), to receive travel reimbursement to their headquarters location if that
headquarters location is the position’s normally assigned office or work location at the
university;
• For employees who meet the criteria for this fieldwork exception, the travel
reimbursement restriction in policy section 1228.6.C.IV does not apply;
• Alternately, for the employees who meet the criteria for this fieldwork exception, an
institution may designate an employee’s remote work location as their headquarters even
if this location is less than 85 miles from the position’s normally assigned office or work
location at the university.
The Universities of Wisconsin will seek revisions to SYS 1228 in accordance with the above, to be finalized by July 1, 2025.
