Student Workers - Expected End Dates October 2020

Student Worker supervisors to provide expected job end dates.

Effective immediately, HR will be asking Student Worker supervisors to provide an "expected job end date" for their positions.  UW Shared Services policies require that a student's position end date cannot extend beyond the end of the academic year.  If they are engaged for work after that time, inclusive of the summer months, new documentation is needed.  This policy does not prohibit summer work or work during breaks, it only requires that the terms of the student's position are bound by the academic year. 

For example, a student working the academic year and the summer would have a Student Employee Action Form with dates of 8/31/2020 through 5/30/2021.  If they work the summer, then a new Student Employee Action Form would be needed to engage them from 6/1/2021 through 8/30/2021. If the employee is only working a specified period of time, be sure to put those exact start and end dates on the form.

This policy is required as it prevents fraud and mitigates the possibility of payroll overpayments to student workers after they may have graduated or if they are not engaged for work over the summer.
