The Title and Total Compensation Project, (TTC), continues to target November 7, 2021, as its implementation date. I wanted to provide you with several updates on what affected employees can expect over the next several weeks.

The Title and Total Compensation Project, (TTC), continues to target November 7, 2021, as its implementation date. I wanted to provide you with several updates on what affected employees can expect over the next several weeks.
Title Change Memos and Documents (Affected Limited, Academic, and University Staff)
Employees whose titles are affected by TTC can expect their official change letters to be delivered from UW System (using a UW System Email Account) sometime the week of November 8, 2021. The Project Leads have informed us they are targeting November 8, as the delivery date for these letters.
Affected employees should continue to review their preliminary mapped title here. While UWL Human Resources continues to audit the mass uploading of titles in HRS, many of the changes to titles in TTC are happening manually, so please carefully confirm that the preliminary mapped title aligns with the official notification sent in November. Any discrepancies should be reported to hrinfo@uwlax.edu immediately.
Title Code Changes
ALL employees can expect new title codes. Title codes are the five-digit alpha/numeric string that HRS uses to identify titles. Employees with titles out of scope will not see a change to their titles but may notice a change to the title codes on reports or other data in which HR manages.
Fair Labor Standards Act Changes (FLSA)
For employees whose status as either exempt or non-exempt is changing, you can expect these changes to be reflected on November 7, 2021. If an employee is transitioning to non-exempt, they will be required to keep a timesheet (i.e., record their hours worked) in HRS and have their time approved by their supervisor for each pay period. HR Staff has already made outreach to affected employees, but as a reminder, these changes will be implemented on November 7, 2021.
As the exemption status now dictates in which classification an employee may belong, those current employees who are transitioning in FLSA status will have the choice to be grandfathered, and remain in their current employment classification group, (i.e., either Academic Staff or University Staff). HR Staff has already made outreach to affected employees, who will have until January 3, 2022, to make their final selection.
Appeals and the Appeal Process
Employees who believe their assigned standard job description does not match their current duties may submit a job title appeal.
November 7 – December 31, 2021: Department/Unit-Led Informal Appeals Process
Employees who disagree with their assigned TTC title can work with their supervisors and their human resource partners to attempt to resolve any concerns in advance of the official appeals period that starts on November 22.
November 22 – December 31, 2021: Employees May Submit a Formal Appeal
Employees who are unable to resolve their concerns informally can submit an official appeal utilizing the appeal form starting November 22, (form not available until November 22). The placement of titles in the salary structure is not appealable.
An overview of the formal Job Title Appeals Process is available online. Prior to submitting a formal appeal, employees must attempt to resolve their concerns with their immediate supervisor and human resources. Information on the appeal process may be found here.
January 1 – February 28, 2022: Formal Hearing of Title Appeal
During this period, the hearing panels will undergo training and review the formal appeals of employees. The panels will make recommendations to the Chief Human Resources Officer who will have the final determination on the title assigned to an employee.
