The transition to a biweekly pay schedule for all employees is quickly approaching. As UWL Human Resources learns more about how this change will affect your departments and processes we will keep you up to date via mailings like this.
As we approach the end of the spring term we are seeing EAF’s for FTE reductions for the summer months. These requests often have a start and end date that align nicely with the monthly payment schedule. For example, the start date for this summer is 6/1/2021 and the end date is 8/31/21. Although monthly dates like these can certainly be used moving forward, we want to provide additional information on how this will look from an employee’s perspective as well as what you will need to consider when reconciling accounts.
Summer FTE reduction example:
- An EAF is submitted to reduce an annual monthly employee from 50% FTE to 34% FTE from 6/1/21 – 8/31/21
- HRS will automatically calculate the earnings correctly, and the earnings will all appear on the same paycheck. See paycheck breakdown below:
- The dates of 8/30-8/31 would be paid at 34% FTE on the 9A paycheck paid on 9/23/21
- The dates of 9/1-9/3, 9/6-9/10 would be paid at 50% FTE on the 9A paycheck paid on 9/23/21
- Future paychecks after the 9A will be paid at 50% FTE

Please refer to these to determine start and end dates to assure the department, the employee, and you are aware of when and how paychecks will be divided if reductions/changes take place in the middle of a biweekly pay period.
